Changing arrival time or late check-in?
Booking & ReservationsRunning late or need to adjust your arrival time? We know travel plans can shift, especially when you're heading to remote outdoor locations. The key is letting your host know as soon as possible so they can help ensure a smooth check-in.
How to update your arrival time
If you're running late or need to change when you'll arrive:
Log in and message your host immediately. Your host can see your messages in real-time and will appreciate the heads-up. They may need to:
- Provide after-hours check-in instructions
- Share gate codes or lockbox combinations
- Arrange alternative key pickup
- Adjust staff availability if they greet guests in person
The sooner you reach out, the more options your host has to accommodate you.
After-hours and late check-in
Many outdoor properties have specific check-in windows, especially those in rural areas or with staffed reception. If you'll be arriving after the stated check-in time:
- Contact your host before your reservation. Some properties charge fees for late arrival or don't offer after-hours access at all.
- Confirm self-check-in details. Ask about gate codes, lockbox locations, or digital lock instructions.
- Save offline copies. Cell service can be spotty in remote areas, so screenshot directions and access codes before you lose signal.
Your confirmation email may already include self-check-in instructions—check there first if you haven't heard back from your host right away.
What if I can't reach my host?
If you've messaged your host but haven't received a response and you're approaching check-in time:
- Check your booking confirmation for any self-check-in instructions or emergency contact numbers
- Look for a property phone number in your reservation details
- If it's within a few hours of check-in and you still can't reach them, contact OutReserve support through your account
Most hosts respond quickly, especially when they see you're en route, but we're here to help if you need backup.
Tips for smooth arrivals
- Plan for extra travel time. GPS can be unreliable near remote properties, and roads may be unpaved or seasonal.
- Review directions before you go. Many glamping sites and campgrounds have specific approach routes that differ from GPS recommendations.
- Keep your phone charged. A portable battery pack is essential for backcountry accommodations.
